Who is responsible

Data we process

• Account and authentication details, including your name, email address, profile image, provider identifiers, and session data.
• Uploaded videos, audio, thumbnails, filenames, transcripts, edits, styles, prompts, settings, stock-media choices, and exported files.
• Subscription, plan, billing interval, Stripe customer and transaction identifiers. Payment-card details are handled by Stripe and are not stored in the FancyCaptions database.
• Product events, feature flags, page and interaction data, campaign parameters, cookie identifiers, abuse-prevention hashes, diagnostics, and session recordings where enabled.
• Support messages, email delivery and unsubscribe status, API-key metadata, and usage counters.

Why we use it

We process account and customer-content data to provide the service you request: authentication, transcription, editing, rendering, export, billing, and support. We process security and diagnostic data to protect and maintain the service. We use analytics, experimentation, session replay, attribution, and advertising measurement to understand and improve FancyCaptions and its marketing. You can change the non-essential measurement choice through Cookie settings in the footer.

Service providers and transfers

Depending on the feature used, data may be processed by providers supporting authentication and Google Drive import, Neon database hosting, Cloudflare storage and delivery, Vercel hosting, AWS rendering, Stripe billing, Resend email, speech recognition, AI-assisted editing, PostHog analytics, Google Analytics and Ads, Microsoft Clarity, Sentry diagnostics, and Pexels stock media. Some providers process data outside Belgium or the EEA under their applicable data-processing terms and transfer safeguards.

Retention

We retain account, project, media, transcript, and settings data while needed to provide and secure the service. Billing records are kept as required for accounting and legal obligations. Analytics, advertising, replay, email, and diagnostic data follow the retention configured with the relevant provider. Some editorial-history and system records may be retained after a project is removed where needed for security, fraud prevention, service evaluation, legal compliance, or dispute handling. We delete or anonymize data when it is no longer required for these purposes.

Your rights

Subject to applicable law, you may request access, correction, erasure, restriction, objection, or portability, and may withdraw consent. Email hello@fancycaptions.com; we may request information needed to verify your identity. You may also complain to the Belgian Data Protection Authority.

Automated tools and security

FancyCaptions uses automated speech recognition and AI-assisted tools to transcribe, correct, style, segment, and render customer content. Review generated results before relying on or publishing them. We use access controls, encryption in transit, and operational safeguards appropriate to the service, but no online system can guarantee absolute security.
